Privacy Policy

This Privacy Policy describes how Friendswith Limited ("Timewire", "we", "us") collects, uses, and shares information when you use the Timewire iOS app and related services (the "Service").
1. Information we collect
- Account details: name, email, user ID, team membership, and authentication data.
- Company and billing details: company name, addresses, phone number, tax numbers, payment terms, and invoice settings.
- Jobsite data: location names, addresses, latitude/longitude, geofence radius, travel time, rates, and client contact details.
- Time tracking data: clock-in/out times, durations, manual edits, notes, and work descriptions.
- Invoices and estimates: line items, quantities, prices, taxes, totals, recipient details, and invoice status.
- Receipt scans and uploads: images, extracted OCR text, and structured data from scans.
- Voice and AI data (optional): audio, transcripts, prompts, and outputs when you use voice or AI features.
- Device and usage data: device identifiers, OS version, app version, crash logs, and analytics.
- Notification data: push tokens and delivery status for alerts and jobsite updates.
- Support communications: messages and files you send to support.
- Subscription data: purchase status and renewal information from the Apple App Store and RevenueCat. We do not receive full payment card details.
2. Sources of information
We collect information directly from you, from team owners or administrators who create accounts for you, from your device or app usage, and from third-party services you connect to the Service (such as Apple, Firebase, OneSignal, RevenueCat, and OpenAI).
3. Location data and onsite status
Timewire uses precise location data to detect when you enter or leave jobsite geofences. This allows the Service to generate time entries and show onsite status. Location data may be collected while the app is in use or running in the background, based on your device settings.
Your onsite status and jobsite name may be visible to your team leader or company administrators to support workforce management, and we may send notifications when a team member arrives onsite. You can disable location access in your device settings, but this will limit core functionality.
4. How we use information
- Provide time tracking, invoices, estimates, and jobsite management features.
- Sync data across team members and devices.
- Send notifications for onsite alerts, updates, and reminders.
- Process scans and AI features to extract or summarize information.
- Manage subscriptions, billing status, and account support.
- Improve reliability, security, and performance of the Service.
- Comply with legal obligations and enforce our terms.
5. Legal bases (EEA/UK users)
If you are in the EEA or UK, we process personal data under the following legal bases:
- Contract: to provide the Service you request.
- Legitimate interests: to secure, improve, and operate the Service.
- Consent: for optional features like precise location, push notifications, or voice features.
- Legal obligations: to comply with applicable laws.
6. How we share information
- With your team: team leaders and authorized members may access time entries, onsite status, and shared jobsite data.
- With service providers: we use Firebase (auth, database, storage, and functions), OneSignal (push notifications), RevenueCat and the Apple App Store (subscriptions), and OpenAI (AI features). These providers process data only as needed to deliver their services.
- For legal reasons: to comply with law, regulation, or legal process.
- Business transfers: if we are involved in a merger, acquisition, or asset sale.
- With your consent or at your direction.
If you are using Timewire through an employer or team account, that organization may be the controller of your data. Please contact your employer for access or deletion requests related to team data.
We do not sell or share personal information for cross-context behavioral advertising.
7. International transfers
We may process and store information in New Zealand, the United States, Australia, and other countries where our service providers operate. When we transfer personal data internationally, we use appropriate safeguards such as standard contractual clauses or other legal mechanisms where required.
8. Data retention
We retain data while your account is active and as needed to provide the Service. We also retain information as required for legal, accounting, or security purposes and to resolve disputes. Backups may persist for a limited period after deletion.
9. Security
We use reasonable administrative, technical, and physical safeguards to protect your data. No system can be 100 percent secure, so please use strong passwords and protect your account.
10. Your choices and rights
- Access, update, or delete your profile and company data in the app.
- Disable location, camera, microphone, or notification permissions in device settings.
- Request account deletion or data export by contacting us.
- Request correction of inaccurate data.
11. United States privacy rights
If you are a resident of California or another US state with a comprehensive privacy law, you may have rights to access or know the personal information we collect about you, request deletion, request correction, obtain a copy of your information, and opt out of the sale or sharing of personal information or targeted advertising. We do not sell or share personal information for cross-context behavioral advertising.
California residents may also have the right to limit the use or disclosure of sensitive personal information. Precise geolocation data is considered sensitive personal information under California law. We use precise geolocation only to provide core time tracking features and do not use it for targeted advertising.
We will not discriminate against you for exercising your privacy rights. You may submit requests by emailing hello@timewire.co. We may verify your request and ask for additional information. Authorized agents may submit requests on your behalf with proof of authorization. Where required, we honor the Global Privacy Control (GPC) signal for opt-out requests.
12. Australia and New Zealand privacy rights
If you are in Australia or New Zealand, you may have rights to access and correct your personal information under the Australian Privacy Act 1988 and the New Zealand Privacy Act 2020. We will respond to requests within a reasonable time. If you are not satisfied with our response, you may lodge a complaint with the Office of the Australian Information Commissioner or the Office of the Privacy Commissioner (New Zealand).
13. Data breach notifications
If a data breach occurs that is likely to result in serious harm, we will notify affected individuals and the relevant regulator as required by law, including under the Australian Notifiable Data Breaches scheme and the New Zealand Privacy Act 2020.
14. Children
The Service is not intended for children under 13, and we do not knowingly collect their data.
15. Changes to this Policy
We may update this Policy from time to time. We will post updates and revise the effective date. Your continued use of the Service means you accept the updated Policy.
